Choose the account type
Select IMAP in Advanced setup. IMAP and POP3 are different account types; make your choice at this stage.

Enter servers and ports
Enter mail.yourdomain.com for both incoming and outgoing servers. Use incoming port 993, outgoing SMTP port 465 and SSL/TLS for both connections. Leave SPA unchecked.

Complete authentication
Enter your mailbox password and select Connect. If outgoing mail authentication is requested, enable it and use the same username and password as for incoming mail. Send a test email and check the reply.
If needed, open this window via File → Account Settings → Server Settings / More Settings . No additional change is needed if your version configures authentication automatically.
Final check

For the Classic Outlook desktop app included with Microsoft 365. Open the version with a File menu. This section adds your IQ Medya mailbox to Outlook; these are not Microsoft 365 / Exchange Online mail server settings.

Open Microsoft 365 Outlook
On Windows, open Outlook (classic) installed with Microsoft 365. Go to File → Add Account and enter yourname@yourdomain.com. Select Advanced options → Let me set up my account manually, then click Connect.

Choose IMAP from the account types. You will manually configure incoming and outgoing servers for your IQ Medya email account.

On current iOS versions, go to Settings → Apps → Mail. In older versions, Mail is directly under Settings; POP3 appears as “POP”.

Common questions
Should I choose IMAP or POP3?
If you use the same mailbox on a computer and phone, IMAP is usually more suitable. Folders and read status are synchronised. POP3 downloads messages to the device and does not provide the same synchronisation. Back up local emails before changing account type.
I can receive email but cannot send it.
Use mail.yourdomain.com as the outgoing server, SMTP port 465 and SSL/TLS. Enable SMTP authentication. Enter the outgoing server username and password even if marked “Optional”; the username is your full email address.
My username or password is not accepted.
Enter the username as “yourname@yourdomain.com”, not just “yourname”. Use the email account password, not your hosting panel password. Check for leading or trailing spaces when copying.
I see an SSL certificate warning.
The server name must match the certificate. Check the domain instead of disabling SSL; if needed, ask IQ Medya for the correct SSL server name for your account. Replace mail.yourdomain.com in this guide with your own domain.
With POP3, messages disappear from another device.
Check whether messages are deleted from the server after retrieval. Enable “Leave a copy on the server” or select “Delete from server: Never”. IMAP synchronisation is more suitable for multiple devices.
There is no POP3 option on Android.
POP3 support depends on the app. This guide uses Samsung Email, which supports IMAP and POP3. Gmail does not add POP accounts; use IMAP or choose an app that supports POP3.
